PRIVACY
Matre Real Estate takes your privacy seriously. Here, we explain how we process personal data when you use our website or are in contact with us.
1. General
This privacy policy describes how Matre Real Estate AS collects, processes, and potentially shares personal data when you apply for housing, rent housing from us, or are otherwise in contact with the business. It also describes what rights you have and how you can exercise them.
2. Data Controller
Matre Real Estate AS is the data controller for the personal data we process. The company's address is Oscars gate 30, 0352 Oslo. If you have questions about privacy, you can contact us at norge@matrerealestate.com.
3. Personal Data We Process
We only process data that is necessary to manage applications for rental housing and ongoing tenancies. This may include contact information, national identity number, references, previous landlords, information about employment or studies, and financial circumstances relevant to evaluating a rental application.
We also process necessary information regarding the property's standard and defects, as well as any complaints or reports of breaches of house rules or the lease agreement. If you are registered as a contact person for a tenant, we process information necessary to administer the tenancy.
4. Purpose and Legal Basis for Processing
When you apply for housing, we process personal data in order to process the application and broker housing in our rental operations. When you are a tenant, we process the data to fulfill obligations under the lease agreement, operate and manage the properties, and comply with statutory obligations related to, among other things, accounting, tax, and other regulations.
Information may be obtained from references, previous landlords, public registries, auditors, municipalities, authorities, and credit reporting agencies when this is necessary and lawful. We generally do not process special categories of personal data. If such processing becomes necessary, a specific assessment is made, and the data is not processed without a valid legal basis.
5. Retention Period
We store personal data for as long as necessary for the purpose for which it was collected. Data that is no longer relevant or necessary is deleted on an ongoing basis. Contact details and information related to the tenancy are stored throughout the rental period and until any claims are settled.
Information regarding financial circumstances is retained in line with relevant legislation, including regulations on tax and accounting. Information related to serious breaches of the lease agreement or house rules may be stored when necessary for legal claims, but never longer than necessary.
6. Security
Matre Real Estate has procedures and working methods in place to process personal data securely. Access is restricted to employees and partners who need the data to perform their duties. We use technical and organizational measures to protect the data against unauthorized access, alteration, loss, or misuse.
7. Who May Receive the Data?
Personal data may be shared with external partners when necessary to administer the tenancy, such as providers of housing brokerage services, debt collection, maintenance, electricity, telecommunications, deposit and rent guarantee, auditing, security, and operational and system services.
Data may also be disclosed to public authorities or municipalities when we are legally required to do so, or when necessary in connection with, among other things, burglary, termination, eviction, or other legal obligations. In the event of the sale of a property, relevant data may be shared with buyers and their advisors in accordance with law and contract.
8. Processing within the EU and EEA
We process personal data within the EU and EEA.
9. Your Rights
You have the right of access to the personal data we process about you. If the data is inaccurate or incomplete, you may request that it be corrected. Under certain conditions, you may request deletion, restriction of processing, or object to the processing.
You may also have the right to receive the data in a structured and machine-readable format. If you believe that the processing does not comply with the regulations, you can lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet).
